Dynamic Youth Theatre
Policies and Procedures

1. Attendance, Missed Classes, and Make-Up Days

​

  • Regular attendance is essential to the success of the ensemble.

  • If your child must miss a class, please notify us in advance.

  • Make-up classes are not guaranteed but may be offered if scheduling allows.

  • Excessive absences may impact a student’s ability to participate fully in a production or performance.

  • Refunds are not given for any missed classes.​

 

2. Dress Code

​

  • Students must wear comfortable, modest clothing suitable for movement.

  • Closed-toe shoes (such as sneakers or dance shoes) are required.

  • No dangling jewelry, distracting accessories, or clothing with offensive language or images.

  • Students who arrive to rehearsal or class in inappropriate attire will be asked to leave the classroom and must change into appropriate clothing before being allowed to participate.​

 

3. Withdrawal & Refund Policy

​

  • Written notice of withdrawal must be submitted 30 days in advance.

  • Tuition will continue to be billed during this 30-day period, regardless of attendance.

  • All registration and tuition payments are non-refundable and non-transferable, including in the event of withdrawal, dismissal, or missed classes.

 

4. Participation Expectations

​

  • Students are expected to arrive on time, participate fully, and respect instructors, fellow students, and the rehearsal space.

  • Students must be prepared to practice outside of class and commit to all scheduled performances.

  • Respect, effort, and a positive attitude are key to each student’s success.

 

5. Code of Conduct & Behavior Policy

​

  • We are a bully-free program. Bullying, teasing, exclusion, or harassment will not be tolerated.

  • Students are expected to speak and act respectfully to all.

  • Disruptive or unsafe behavior will be addressed promptly:

    • First: Verbal reminder

    • Second: Parent communication

    • Third: Possible suspension or removal from the program (without refund)

 

6. Health & Safety Policy

​

  • Please keep students home if they have a fever, vomiting, diarrhea, or any contagious illness.

  • Students must be symptom-free for at least 24 hours (without medication) before returning to class.

  • Parents must inform staff of allergies, medical conditions, or special needs that may affect participation.

  • Injuries sustained during class will be reported to the parent immediately.

 

7. Medication Policy

​

  • Staff cannot administer medication (prescription or over-the-counter) without a parent or guardian's written consent and instructions.

  • If your child requires emergency medication (e.g., EpiPen, inhaler), you must notify us in writing and provide any required documentation.

 

8. Emergency Procedures

​

  • In the event of a medical emergency, we will contact the parent/guardian immediately and, if needed, call emergency services.

  • Emergency contact and medical information must be current in our records.

  • Dynamic Youth Theatre has emergency evacuation and shelter-in-place procedures in accordance with venue policies.

 

9. Drop-Off & Pick-Up Policy

 

Dynamic Youth Theatre classes are held in a public recreation center, and student safety is our top priority.

​

  • Students under the age of 16 may not be dropped off without a parent or guardian present until a staff member or instructor is onsite and available to supervise.

  • Parents/guardians must walk their child into the building and remain with them until class begins, unless otherwise instructed by staff.

  • Students must be promptly picked up at the scheduled end time of class or rehearsal. Repeated late pick-ups may result in additional fees or removal from the program.

  • For safety reasons, children will only be released to individuals listed on the authorized pick-up form. ID may be required.

 

We appreciate your partnership in helping us maintain a secure environment for all students.

 

10. Performance Commitment Policy

​

  • Attendance during tech week, dress rehearsals, and all performances is mandatory unless an absence has been approved in advance.

  • Unexcused absences during the final rehearsal period may result in re-assignment of performance responsibilities or limited roles in future productions.

 

11. Costume & Materials Policy

​

  • Families may be asked to provide basic costume pieces such as shoes, tights, or undershirts.

  • A costume or materials fee may apply and will be communicated in advance.

 

12. Social Media & Online Conduct

​

  • Students should conduct themselves respectfully in all online settings connected to the program (Zoom, Google Classroom, etc.).

  • Parents and students should refrain from posting performance or rehearsal videos and photos online unless approved by the program, due to licensing restrictions and to respect the privacy of other participants whose image may appear without consent.

  • Staff will not engage in private social media messaging with students.

 

Student Social Media Conduct Policy

​

Students are expected to represent themselves, and Dynamic Youth Theatre, with respect and integrity both in person and online.

​

  • Any social media activity (including posts, comments, messages, or shared content) that is hurtful, inappropriate, or harmful to others is strictly prohibited.

  • Bullying, harassment, gossip, or sharing private information about fellow students, staff, or the program is not acceptable and may result in disciplinary action.

  • Students should not post rehearsal footage, photos of others, or performance material without permission from the program and consent from those pictured.

  • We encourage students to use social media to celebrate their theatre experience in a positive and respectful way that uplifts their castmates and the values of the program.

 

Failure to follow these guidelines may result in loss of privileges, parent meetings, or removal from the program depending on the severity of the behavior.

 

13. Digital Content & Media Sharing

​

  • With parent or guardian consent, Dynamic Youth Theatre reserves the right to use photos and videos taken during rehearsals and performances for marketing and archival purposes.

  • Full performances may be recorded for internal use but cannot be shared publicly due to performance rights agreements.

 

14. Parent Volunteer Expectations & Conduct Policy

 

We deeply value the time, talent, and support of our parent volunteers. To ensure a safe and productive environment for all students, families, and staff, we ask all volunteers to follow these guidelines:

​

  • Professional Conduct: Volunteers are expected to model respectful, inclusive, and cooperative behavior at all times. This includes using appropriate language and treating students, staff, and other families with kindness and courtesy.

  • Student Supervision: Volunteers may be asked to assist with supervision backstage, in classrooms, or at events. All volunteers must remain attentive, avoid distractions (e.g., phone use), and report any concerns or misconduct to a staff member immediately.

  • Confidentiality: Volunteers may witness or overhear sensitive situations. We ask that all student behavior, casting decisions, and staff matters remain confidential and not be discussed outside of the program.

  • Authority & Boundaries: Volunteers should defer all disciplinary or instructional matters to staff. Volunteers may not engage in one-on-one correction, coaching, or counseling of students.

  • Safety & Check-In: Volunteers must sign in and out when on site and follow all safety and emergency procedures as directed by staff. Volunteers working in certain roles may be asked to complete a background check.

  • Photography & Media: Volunteers may not take or post photos or videos of students without express permission from staff. All media must follow the program’s social media and photo release policies.

 

Failure to follow volunteer guidelines may result in reassignment or removal from volunteer duties.

15. Financial Policies

​

  • Tuition may be paid in full or through an approved payment plan.

  • Monthly tuition payments are due the 1st day of every month.

  • Late payments will incur a late fee of 5% per day late after the 5th day of every month, and may impact continued participation.

  • A $35.00 fee will be charged for any returned checks or failed electronic payments.

 

16. Staff Conduct & Boundaries

​

  • All staff and instructors are expected to maintain professional, appropriate boundaries with students at all times.

  • To ensure the safety of our students and uphold the integrity of our program, one-on-one communication between staff and students will only occur in visible, appropriate settings (e.g., in the presence of others or in open, observable spaces).
